Information we collect when you book a job
We collect personal information that you give us directly when you send details through our enquiry form, ask about a vehicle fault, or request a workshop or mobile call-out booking. That information may include your name, contact details, company name, vehicle registration, vehicle make and model, fault symptoms, location, and booking notes.
During a diagnostic or repair job, we may also record information connected to the vehicle and the work carried out. This can include fault codes, live data readings, battery and charging test results, wiring findings, tracker or accessory installation notes, and the parts or labour needed to complete the job.
How we use your information in the workshop
We use personal information to assess the job, manage workshop bookings, arrange mobile call-outs across Cape Town and the Western Cape, and keep records of the work done. We also use it to prepare quotations, manage invoices, update job notes, and maintain service history for fleet vehicles and private vehicles.
- To identify the vehicle and the fault reported
- To arrange workshop or mobile attendance
- To complete diagnostics, repairs and fitting work
- To issue documents linked to the job
- To manage follow-up records for the same vehicle
Sharing information with the right people
We only share personal information where it is needed for the job or where the law allows it. That may include sharing details with staff members involved in diagnostics, auto electrical repairs, fleet coordination, or administration at our Montague Gardens workshop.
Where a service provider helps us operate our records or communication systems, that provider may process information on our behalf under instructions from us. We do not sell personal information. We do not share client details for marketing unless you have given us permission.
Records from diagnostics and repairs
Vehicle diagnostics often produce technical records that are linked to a specific registration number or booking. Those records may show the fault description, test results, wiring notes, parts used, and the date the vehicle was attended to. In some cases, tracker fitting or accessory wiring notes are also retained for future reference.
- OBD fault code readings and live data snapshots
- Battery drain and charging system test results
- Starter, alternator and wiring repair notes
- CAN bus fault checks and earth fault findings
- Fleet and private vehicle service history records
Storage, security and retention periods
We keep personal information in a controlled environment and take reasonable measures to guard against loss, unauthorised access or unlawful use. This applies to electronic records and paper records kept at the workshop or in administrative files.
We retain information only for as long as needed for the purpose for which it was collected, for legal compliance, tax and accounting records, and for sensible workshop history where the same vehicle returns with a related fault. When records are no longer needed, they are deleted or destroyed in a secure manner.
Your rights under POPIA
You may ask for access to the personal information we hold about you, ask us to correct details that are wrong, or request that we delete information we are no longer required to keep. You may also object to certain processing where POPIA gives you that right.
If you want to exercise those rights, you can use our contact form on our contact page. We may need to verify your identity before making changes to records, especially where the request relates to a fleet account, a workshop invoice, or a vehicle history file.
